Privacy policy

• Account data: name, email, phone, profile image, language preference


• CRM content: contacts, notes, activities, appointments, sales you create


• Usage data: which pages you view, feature interactions, AI prompt usage (for credit accounting)


• Payment metadata: from Stripe (last-4 card digits, billing address) — full card numbers never touch our servers


• Support communications: tickets you file, replies from our team

To deliver the software you've subscribed to (contract), to send transactional email about your account (legitimate interest), to comply with tax and accounting law (legal obligation), and to improve the product (legitimate interest, opt-out via analytics cookie banner).

We only share personal data with subprocessors necessary to deliver the service:

• Vercel (frontend hosting, EU region)


• Railway (backend + database hosting, EU region)


• Clerk (authentication, USA — SCCs in place)


• Stripe (payments, Ireland)


• Resend (transactional email, Germany)


• Anthropic (AI processing, USA — SCCs in place)

We do not sell or rent your data to any third party.

Active accounts: as long as your subscription is active. After cancellation: we keep basic account records for 3 years for accounting law (bokføringsloven). You can request earlier deletion — email support@vitacoach.online.

Under GDPR you have the right to access, correct, port, or delete your personal data. To exercise any right, email support@vitacoach.online and we'll respond within 30 days. You also have the right to complain to Datatilsynet if you're unhappy with how we handle your data.

We use strictly necessary cookies (authentication session) and, if you accept, privacy-friendly analytics (page views, no personal profile). You can change your choice any time via the cookie banner or by clearing your browser storage.
